Specialist, Private Travel

As a key contributor on the Experiential Collection Team, the Private Travel Specialist is responsible for planning, developing, and delivering itineraries and experiences for Exclusive Resorts’ Private Travel Collection. This position focuses on supporting, enhancing, and growing the Club’s Private Travel & Hotel product. You will manage booking unique trips and bucket-list vacations for our Members, by preparing quotes and proposals, making and managing reservations for various destinations, maintaining a portfolio of options for members, and managing partner relationships. You will need to provide exemplary service to our high net-worth clientele.

Roles and Responsibilities:

Customer Service & Communication:

  • Provide one-on-one customer service to individual Members and travel partners worldwide.
  • Maintain and manage high-end travel itineraries for experienced travelers.
  • Maintain excellent and thorough Member communication throughout the entire booking/reservation process (pre- to post-travel).
  • Work with Members and travel partners/hotels to make changes or cancellations to scheduled trips.
  • Demonstrate encyclopedic knowledge of all Exclusive Resorts Experience Collection trips to articulate and sell to our Members.
  • Train Account Managers and collaborate closely with the team to ensure seamless Member travel experiences.

 Travel Planning & Management:

  • Draft proposals and quotes to send to Members.
  • Manage partner relationships, perform quarterly check-ins, and manage contract renewals.
  • Utilize preferred partner relationships and vendor contracts to get the best availability, rate, and additional benefits for Members.
  • Confirm guest reservations via phone and computer.
  • Update internal documents relating to trip information and details.
  • Create presentations for team training sessions and refreshers.
  • Update trip/destination calendars based on availability.
  • Work in conjunction with the Marketing team to keep our website pages up to date.

 Billing & Financial Management:

  • Facilitate Member and partner billing on a weekly basis (strong Excel skills required).
  • Act as a liaison with the Accounting Team and be a point of contact for billing needs and questions.
  • Work with the Finance team to establish annual budget goals for the department.
  • Price Journeys & Experiences in collaboration with the Finance team, ensuring margin targets are achieved while maximizing value for Members.

Product Development & Strategy:

  • Evaluate existing partnerships and product offerings, and design new Private Travel Journeys & experiences for Club Members.
  • Research and maintain a growing knowledge of industry products, innovations, destinations, and vendors.
  • Attend and represent Exclusive Resorts at travel industry conferences.
  • Collaborate with the Marketing Team to develop and review Member communications & collateral.
  • Review and ensure all information on the Source (Member website) is accurate and up to date.
  • Prepare and present destination and product training to the Member Services team.
  • Present Private Travel updates at department and company meetings.

 Strategic Planning & Development:

  • Plan, develop, and deliver itineraries and experiences for the Private Travel Collection.
  • Support, enhance, and grow the Club’s Private Travel product offering.
  • Develop new trips and revamp existing trips.
  • Streamline processes to improve efficiency and Member satisfaction.

 

Education, Skills, and Experience:

  • 3-5 years of experience in the travel or hospitality industry.
  • 2-4 years working directly with DMCs.
  • Bachelor’s degree or equivalent work experience preferred.
  • Experience in sales and luxury hospitality, preferably as a travel consultant.
  • Extensive personal travel experience.
  • Strong communication skills, both written and verbal.
  • Good organizational skills and the ability to multi-task.
  • Proficient in math and Excel.
  • Team player mentality, willingness to step in wherever needed.
  • Works well under pressure, appreciation for a fast-paced environment.

Additional Information:

  • Hybrid work environment with 2-3 days (8 hours) in the Denver office expected each week.
  • International & domestic travel is expected, estimated at two to four trips per year.
